TITLE: Staff Assistant II, Reproductive Health Program
REPORTING TO: Director, Reproductive Health; and Associate II
GRADE: 7

ASSIGNMENT LENGTH: Two years, renewable by mutual consent and
availability of funding
JOB DESCRIPTION
The staff assistant II will provide administrative support and
coordination for the central management team of the Population Council's
Reproductive Health program. S/he will assist in ensuring smooth and
coherent program operation by working with staff based in the Council’s
three US locations (the Council's office in Washington, DC, its headquarters
in New York City, and the Center for Biomedical Research in New York City), as well as with staff based in developing
countries around the world.
RESPONSIBILITIES
- Develop and maintain a system for coordinating and sharing knowledge
on all pending and ongoing grant efforts funded under the Reproductive
Health program.
- Support and track Reproductive Health program fundraising efforts
with varied donors, including the US Agency for International
Development (USAID), the National Institutes of Health, and foundations, among others.
Prepare background documents and timelines for proposal submission and
coordinate production of proposal technical and financial components.
- In support of the director for the USAID-funded Global Health TASC3
IQC, coordinate Council and partner responses to individual task orders,
including proposal submissions to USAID, and monitor existing awards.
- Maintain Reproductive Health program database and generate
semiannual database report on Reproductive Health program activities.
Assist in formatting, editing, and distributing narrative reports.
- Assist in communication and dissemination of information on
Reproductive Health program efforts, including Web site updates and
internal/external responses to request for information.
- Coordinate and compile the submission of subaward and in-house
project documentation to the Council office in New York; monitor
subaward and in-house project financial and technical reporting.
- Coordinate Reproductive Health program consultant appointment
recommendations, including processing and reporting.
- Assist with Reproductive Health program staff issues, including
recruitment and operational support.
- Organize and participate in workshops, meetings, and conferences.
Assist in drafting reports and follow up.
- Assist the director in preparation of PowerPoint presentations, and
compile background documentation for leadership roles at public
meetings.
- Handle meeting and travel/visa arrangements and expense reporting
for the Reproductive Health program director as well as for visiting
staff and colleagues.
- Provide shared rotational support for the operation of the
Washington, DC, office, including covering for reception.
QUALIFICATIONS
- Minimum of five years' nonprofit administrative/management
experience.
- Superior administrative and organizational skills; initiative,
attention to detail and follow-through, ability to prioritize, and
ability to work independently and efficiently.
- Excellent computer skills, including knowledge of Microsoft Outlook,
Word, Excel, PowerPoint, and Access.
- Strong communication skills, including excellence in English
language, spoken and written, and in proofreading. Ability to write
clearly and concisely.
- Judgment and discretion in dealing with confidential and high-level
matters.
- Bachelor’s degree in management preferred.
- Pleasant, courteous, poised manner in all interactions; people
orientation.
- Experience in the developing world and knowledge of foreign language
an asset.
